Consent & Communications
How we contact you, with what authorization and how to change your preferences.
1. What your authorization means
When you send us your details through the contact form or the Don Kondi request form and tick the authorization box, you allow CBM to contact you through the methods you selected and only to respond to your request and follow up on it, and to send an acknowledgment of receipt with your request's reference number to your email address. This authorization does not add you to marketing lists and does not allow us to share your data for other purposes. The box is never ticked in advance; without it we cannot record your request.
2. Communication methods
In the form you can choose one or more methods:
- Phone (call).
- Email.
- Text message (SMS).
- WhatsApp.
For phone, text message or WhatsApp we need your number. We will use only the methods you chose, unless you ask us to use another one.
Acknowledgment of receipt. When you send the form you will receive, at the email address you entered, an automatic acknowledgment with your request's reference number, even if you chose a different contact method. The acknowledgment only confirms that we received your request: it does not contain your message or your other details and it is not a marketing communication. If CBM contacts you by email, it may do so by replying from its mailbox to the notification of your request. The Privacy Notice explains which providers are involved in sending these emails.
3. Preferred time
You can indicate whether you prefer to be contacted in the morning or in the afternoon. We treat it as a preference and will try to respect it; it is not a guaranteed time.
4. Responding to your request and marketing communications
Responding to what you asked for (information, an assessment, a quote, a call or an appointment) is different from sending you promotions or newsletters. Today CBM does not send marketing communications from this website. If it does so in the future, it will ask for a separate authorization, which you may refuse or withdraw without affecting how we handle your request.
5. Call or appointment requests
If you ask for a call or an appointment, we record it as a request and will confirm the date and time through the method you chose. This website does not book appointments automatically: an appointment is only scheduled once CBM confirms it with you.
6. Don Kondi virtual assistant
Don Kondi is an artificial-intelligence assistant that answers general questions about CBM. If you want us to contact you, Don Kondi offers a contact-request form inside the chat. Those details go straight to CBM's server — they are not sent to the artificial-intelligence service —, are sent only after you review your request and tick the authorization box, and are recorded in the same way as the contact form. Don Kondi does not schedule calls or appointments: an appointment requested this way remains a request until CBM confirms it. Before using voice conversation it asks for your authorization to use the microphone; if you do not give it, you can keep typing. What you type or say is processed by a third-party artificial-intelligence service, as explained in the Privacy Notice.
In the Don Kondi form:
- it explains why your details are requested and asks for your express authorization (the box is never pre-ticked);
- it shows you a link to this page and to the Privacy Notice;
- it records your answer in the same way as the contact form.
If you do not authorize it, your request is not sent and you can keep using the chat.
7. Record of your consent
When you send the form (from the Contact page or from the Don Kondi form) we store, together with your request: whether you authorized contact (yes or no), the date and time, the methods and time of day you chose, the language, the source and type of the request, the form version, the versions of the Privacy Notice and of this document in force at that moment, and which emails were generated for your request (notification to CBM and acknowledgment of receipt). This record allows us to respect your preferences and to show with what authorization we contacted you.
8. How to withdraw your authorization or change your preferences
You can withdraw your authorization or change the methods or the time of day at any time by replying through the same channel we used to contact you or by writing to us through the Contact page. We will record the change and stop using the methods you withdraw. Withdrawal does not affect earlier communications.
9. Communications with a different legal basis
Some communications do not depend on this authorization, for example those needed to perform a services contract you have signed with CBM or those required by a legal obligation. Those communications are governed by the corresponding contract and by the Privacy Notice.
10. Relationship with the Privacy Notice
This document complements the Privacy Notice, which explains what data we process, for what purposes, how long we keep it and how to exercise your ARCO rights. In case of any difference, the Privacy Notice prevails.
11. Changes to this document
We may update this document. Each update will be published on this page with a new version number and its effective date; your consent record keeps the version in force when you gave it.
